Salis is a Saudia Arabia-based company that offers an array of services. Salis is also a renowned name as an online marketplace that connects customers to the household, maintenance and repair, and other services providers i.e. cleaning, pet care, AC installation, etc., and collects payment through COD and Cards.

Salis sought SubscriptionFlow assistance to manage the recurring billing and payments for its services-based marketplace venture. Earlier, it was managing the data of their commissioned clients and service providers, manually. They needed a customized system that imports the .CSV files to a dedicated and unified system, in exact match and manner, on weekly basis, and generate invoices for the customers whose data has been imported. Along with this, they wanted their customers to be charged, accordingly, to the ‘Cost’ section in the .CSV file, including the applicable taxes.

To fulfil the unique requirement asked by Salis, SubscriptionFlow implemented the custom modifications in the code and provided them with a customized system to import data, generate invoices based on the CSV, and in regional language.

Salis is connecting customers with services providers all over Saudi Arabia, through their platform. They offer multiple products ranging from digital marketing to varied verticles with a one-time subscription plan and with two types of payment collection methods, first is Cash-on-Delivery with applicable VAT. Salis commissioned subscribers with a fixed Salis commission of 4 SAR.

All over Saudia Arabia, Salis is providing a platform that aims to connect the local customers with the services providers on regular basis and charge customers, monthly. To manage the subscriptions they were keeping manual records of customers and service providers separately. This was preventing them from scaling their business and simultaneously preventing their employees from generating frequent invoices accurately on a recurring basis.

They reached out to the team SubscriptionFlow to get customized solutions for the following challenges.

Challenge 1

They wanted to import the provider and customer CSVs, the files that are recorded manually by the Salis team, to the SubscriptionFlow system in exact match. It also included creating subscriber and provider information based on the service they provided and the commission charged.

Challenge 2

Another challenge they were facing regarding charging taxes is, they wanted to import the data of customers on weekly basis and automatically send the invoices to the customers imported from CSV files through the SubscriptionFlow system.

Challenge 3

Lastly, they wanted a customized invoicing solution with the information on the invoice that should be in the regional language i.e. Arabic. However, the invoices generated should follow two different set-ups, information about order numbers should be mentioned on the customer invoice, and providers shouldn’t get this piece of information, etc. Along with this, they also wanted to send the automatic invoices to the services provider with customized information.

In addition to the challenges that we have mentioned above, Salis faced many challenges associated with charging the clients with the right tax, i.e. customers who pay for a credit card should be subjected to VAT of 15% exclusive only on applicable ones, and customers who paid with cash-on-delivery should be charged an additional 4 SAR, fixed every month.

Solution 1

The first solution that SubscriptionFlow provided to the Salis was an import module that allows the Salis to import the complete information from the manually kept CSVs and update customer and services provider information to generate invoices, etc. Along with this, the module allows them to create and modify the information of customers and providers manually.

Solution 2

In addition to the CSVs imports, they were also given a hosted payment page to collect online card payments from customers. Besides, SubscriptionFlow’s automation feature allows them to send every customer and provider an emailed version of invoice PDFs with unique information.

Lastly, SubscriptionFlow provided them with customized workflow automation and code modification to ensure all requirements asked by the Salis i.e. invoice language modification, instant invoice generation, and email to the recipient upon the import of CSVs on weekly basis.

Besides the above-mentioned solutions, the SubscriptionFlow team also offered them email template customization and module, products with plans modules, and currency modification.

To incorporate all requirements asked by the Salis team, SubscriptionFlow made the following customization in the modules offered by the subscription management system. The first module customization offered by the SubscriptionFlow was the customer and services providers’ data import module from the CSV files. Since they were keeping a manual record of two separate CSVs, SubscriptFlow followed the same pattern while offering customization.

Another customization in the SubscriptionFlow system was made in code modification. This modification allows the Salis to send a customized email with preferred language, customer information, and provider details, automatically upon the weekly import of data. Besides, the invoice was automated to generate on the asked time and date by the Salis.

Lastly, Salis was offering two types of subscriptions with varied tax deduction methods to commissioned and Cash-On-Delivery customers. For this, we provided them with workflow automation that automatically fetches data from the CSV file uploaded by the Salis and generates customer and provider invoices with taxes.
